Welcome to VideoTextCopy ("we", "our", or "us"). We are committed to protecting your privacy and ensuring a secure experience when you use our Browser Extension (the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you interact with our Service.

By installing and using the Service, you acknowledge that you have read and understand the collection and use of information in accordance with this Privacy Policy. If you do not agree with any term in this Privacy Policy, please immediately uninstall and cease using the Service.

1.Information We Process and Technical Operations

Our Service acts strictly as a productivity tool that assists users in capturing screenshots of videos and extracting text using Optical Character Recognition (OCR) technology. To perform this technical function, we process data through the following layers:

a. Core Operational Data (Screenshots and Images)

When you initiate a text extraction, the Service captures the designated screenshot locally on your device. This image data is securely transmitted via HTTPS encryption to our servers, which act as a routing and authentication layer, and is forwarded to our third-party commercial OCR API providers to execute the text extraction.

Retention: We do not permanently store, retain, or cache your screenshots on our servers. Image data is temporarily processed solely to perform the text extraction and is deleted after completion of the OCR request and when no longer reasonably necessary.

AI Training Exclusion: We do not use your screenshots or extracted text for artificial intelligence or machine learning model training. We process data exclusively through third-party commercial API tiers or enterprise offerings contractually configured not to use customer data for model training.

b. Technical Logs and Anti-Abuse Performance Data

To maintain infrastructure security, diagnose technical errors, and enforce our Fair Usage Policy, our servers automatically collect short-lived technical logs. This data includes your IP address, browser specification, extension version, hashed or obfuscated device identifiers, and technical timestamps.

These server logs are completely segregated from image processing data and do not contain screenshot images or extracted text content. Technical records are restricted strictly to anti-abuse, fraud prevention, and debugging operations, and are automatically deleted within thirty (30) days, unless an active security investigation requires a temporary extension.

d. Local History Storage (User-Controlled Text History)

For your convenience, the Service provides a local history feature that allows you to access and manage your previously extracted text records (capped at a rolling maximum of 50 entries).

Zero-Server Storage & Total User Control: All history data, including the extracted text and corresponding timestamps, is stored exclusively within your local web browser profile (using chrome.storage.local). This data is never transmitted to, stored on, or accessed by our servers. You can manually delete individual entries at any time through the Extension's user interface. Uninstalling the Browser Extension will automatically purge all locally stored history records from your device.

Please note that if you enable native browser profile synchronisation (such as your browser's built-in sync), this locally stored data may be synced across your personal devices via your browser provider's encrypted channel under their respective privacy terms.

c. Account and Billing Data

If you purchase a premium plan, we collect necessary transactional account identifiers, such as your email address and basic purchase history. All financial transactions and sensitive payment instruments are collected and processed directly by Paddle, our secure, PCI-compliant third-party payment processor. We do not store, access, or retain your raw financial credentials on our servers.

3.Data Sharing and Third-Party Disclosures

We do not sell, rent, trade, or share your personal data for cross-context behavioural advertising. We only share data with service providers who perform critical infrastructure operations on our behalf, bound by strict confidentiality:

  • Commercial OCR API Infrastructure: External commercial processing engines utilised solely to run real-time text extraction cycles.

  • Payment Gateway Infrastructure: Paddle, a secure billing platform utilised to manage transactions and automated renewals.

  • Cloud Hosting Infrastructure: Vercel, secure cloud server networks utilised to route encrypted requests.

We may also disclose your information if required to do so by a valid legal obligation, court order, or government authority, or if we believe in good faith that such action is necessary to investigate fraud, enforce our Terms, or protect vital user safety.

4.Data Security and International Transfers

We implement industry-standard technical security measures, including end-to-end Transport Layer Security (TLS/HTTPS) encryption, to safeguard data during transit.

Because we utilise global commercial cloud infrastructure, you understand that your technical requests may be routed through, transferred to, and processed in countries outside your home jurisdiction (including the United States or Singapore). Where data originates in the EEA or UK, we ensure that appropriate safeguards, such as the European Commission's Standard Contractual Clauses (SCCs) and robust data processing addenda (DPAs), are actively maintained with our infrastructure vendors.

5.Your Rights and Choices (GDPR / UK GDPR / CCPA / CPRA)

Depending on your regional jurisdiction, you may possess statutory rights regarding your personal data:

  • Right to Access and Know: You may request disclosure or copies of the personal data we hold about you (e.g., your account email and purchase logs).

  • Right to Rectification: You may request updates to inaccurate account details.

  • Right to Erasure: You may request the deletion of your account email and transactional records, subject to statutory accounting, audit, and dispute retention laws. (For your locally stored text history, you can exercise your right to erasure directly and instantly by utilising the "Clear History" function within the Extension).

  • Right to Restrict or Object: You may object to our log processing based on legitimate interests.

  • Right to Data Portability: Where applicable law requires, you may request to receive your personal data in a structured, commonly used, and machine-readable format.

  • Right to Withdraw Consent: If any optional aspect of our service relies on your explicit consent, you have the right to withdraw that consent at any time without detriment.

  • Right to Lodge a Complaint: Where applicable law permits, you also have the right to lodge a complaint with your local supervisory data protection authority if you believe our data processing violates applicable regulations.

CCPA/CPRA Notice — We explicitly declare that we do not sell your personal information or share your personal information with third parties for cross-context behavioural advertising purposes. We do not collect or process sensitive personal information to infer characteristics about you.

6.Children's Privacy

Our Service is not directed toward, nor do we knowingly collect data from, minors. If you are under the legal age of majority or the minimum required age for digital privacy consent in your jurisdiction, you must not use this Service. If we discover that a minor below the required local legal age threshold has provided personal data to us, we will take immediate technical steps to purge that data from our records.

7.Website Cookies and Analytics Notice

The Browser Extension itself does not deploy tracking cookies, advertising pixels, or telemetry scripts within your browser profile.

Our main product website and third-party payment checkout interfaces may utilise essential operational cookies to maintain session integrity and prevent security fraud. If we implement non-essential analytics or performance optimisation scripts on our website, we will seek your prior opt-in consent via a compliant cookie notice where required by local law.

8.Changes to this Privacy Policy

We reserve the right to update this Privacy Policy to reflect technical updates to our Extension, shifts in our third-party API configurations, or updates to global data protection laws. We will notify you of any material changes by updating the "Last Updated" date at the top of this document or via a conspicuous announcement inside the Extension user interface.
